For property finance brokers

Every case in view. Nothing left to go quiet.

One place for every client, case, document and fee, set up the way your brokers already work a deal. We build it around your firm and look after it once it is in use.

Tell us what is holding the business back. We’ll tell you what we would do about it, and whether it is worth doing.

Overview of the case hub on demo data: open cases, fees in the pipeline, the balance due to the firm and the cases needing chasing.

Where fees slip

Keep the deals you have already won.

The work between introduction and completion is where cases drift and fees go with them. It usually happens in four places.

Cases live in inboxes
Each broker keeps their own spreadsheet, so nobody sees the whole book until the weekly meeting.
Documents are chased by hand
The same bank statements and IDs are asked for again by email and WhatsApp, with no single record of what has arrived.
Quiet cases are found late
A deal that has drifted for a fortnight is noticed when the client has already gone elsewhere.
Fees are split on a spreadsheet
Introducer fees, partner splits and commission are worked out by hand, and checked again afterwards.

What it does

One place for the whole book.

First built for a property finance brokerage. Shown here on a fictional firm, Corvane Capital, with made-up clients and figures.

The pipeline board on demo data: one column per stage with the fees in each, and a card for every case.

The whole pipeline, with the fees sitting in each stage. Demo data.

The whole book on one screen
Open cases, fees in the pipeline and the balance due to the firm, for everyone or one broker.
Quiet cases flag themselves
After five days without an update a case rises to Needs chasing, quietest first.
The lender pack, ticked off
Identity, finances, company, property and exit documents, each with who ticked it and when.
Emails written from the case
Chase, valuation, offer and completion emails, filled in with the client, property and what is missing.
Fees and payouts on every deal
Broker fee, proc fee, introducer fees and partner splits, with the balance worked out as you go.
Handovers keep the history
Reassign a case with a note, and every call, document and decision moves with it.
Clear access by role
Brokers, admins and owners each see what they should. Salaries only by the people who should.
A record of every change
Every tick, note, edit and payout, with who and when. Nothing can be edited away.

Set up your way

Built around how your firm works a deal.

It is a starting point, not a package your team has to bend around. Before anything is set up we agree:

  • Your stages, from first contact to completed and paid
  • Your fee rules, partner splits and introducer terms
  • The documents your lenders ask for
  • The wording of your emails to clients
  • Who on the team sees and changes what

Your team picks it up fast, because it follows the steps they already take rather than asking them to learn new ones.

Your current cases come with you

We bring your live cases, clients and documents across from the spreadsheets or CRM you use now, so the team starts with the whole book in it, not an empty screen. It is part of the setup, and its cost is agreed with the rest of it in the proposal.

On request

More integrations and changes, when you want them.

None of these are in the demo. Tell us what else your firm needs and we will talk it through and scope it with you, with AI where it does the job better and a person checking anything that matters. A few we would suggest:

  • Send the chase emails on a schedule, from your own inbox
  • Read an uploaded ID or bank statement and tick the checklist
  • Put lender and client replies onto the right case
  • A Monday email to the owner: what moved, what is quiet and what is due to complete
  • Connect the software you already use for sourcing or accounts
  • Anything particular to your firm: a report, a rule, a step in the deal

How we work

One team, start to finish.

  1. Step 1

    We find the real problem

It starts with a free build check: bring the job you know could run better. If it is worth solving, a short paid review maps it properly, and you get a clear plan and a fixed price before you commit.

  2. Step 2

We build it with your team

We build around the software you already use, test it with the people who will use it and get it into daily use.

  3. Step 3

    We look after it

Once it is running we keep it that way, for a monthly fee agreed before you start: fixes, changes as the business moves, and regular check-ins on whether it is paying off.

Questions

What property finance brokers ask us.

It does what a CRM does for clients and cases, but around how a broker works a deal: the stages, the lender pack, fees, splits and payouts. A general CRM leaves those to spreadsheets.

No. You keep sourcing and comparing lenders where you do now. The hub holds the case, the documents and the money around it. Connecting it to your sourcing platform is something we can add.

Today the emails are written for you from the case and copied into your own inbox. Sending them, and putting replies onto the right case, can be added.

Yes. We move your live cases, clients and documents across from your spreadsheets or current CRM as part of setting it up. What is moved and what it costs are agreed in the proposal, with the rest of the setup.

Yes, on request. Further integrations and changes are talked through and scoped with you before anything is built, and priced in the proposal.

Yes. The demo is open to anyone and runs on a fictional firm with made-up clients and figures, so you can click through every screen.

Access is by invitation, each person sees only what their role allows, and every change is recorded with who made it and when. Where your data is held and how it is protected are set out in the proposal.

We agree what the solution will do, how we’ll test it, what it costs to build and what it costs to run. Implementation and training for the people using it are included. Management after launch is agreed in the same proposal, with any third-party costs named upfront.
